Cashing the commission of a transaction

  • Go to the transaction section

    • Here you will find all the transactions submitted in the system

  • You can search by civic number or by address

     

  • Once you’ve located the transaction, click on the pencil to access this folder.

  • In the above section, open the disbursement tab

     

Adding a commission cheque

  1. The first thing to do is to verify that the amount in ‘'receivable’' is the correct amount on the cheque.

    If there is a difference, make the necessary adjustments and modify the transaction.

If there is a split at the notary or lawyers office, the modifications must be made in the receivable / payable tab. This is where you can specify the origin of the amounts.

2. In the Transaction cash receipt section, click on the ‘'ADD’' button to open a new window.

  • The transaction can’t be incomplete (red flag) or the ‘'ADD’' button will not be available. If this is the case, go back to the profile of the transaction and click on the ‘'Analyze’' tab to find out why your transaction is still incomplete.

  • The transaction status must not be conditional

3. Select the cash receipt type

 

4. Last but not least, complete the information relative to the amount received, all fields with an asterisk ( * ) are mandatory.

Transaction: Address of the property (automatically uploaded).

Transaction date: Choose proper date if it is incorrect.

Cheque date: Date written on cheque.

Payment method: Cheque by default but open drop down menu to change selection.

Cheque or Reference number: Cheque number or transaction number if payment was issued by electronic funds transfer.

Cash receipt amount: Amount received.

Amount already deposited: NO if it’s a cheque or cash, YES by electronic fundstransfer (EFT).

Project: By default or if you have more than one project open the drop down menu for more options.

Adjustment: Write difference, if needed, between the amount received and the amount to receive.
E.g: If you’re waiting to receive $11,224.34 and the notary / lawyer sends you a cheque of $11,224.32. You’ll need to make an adjustment of -$0.02 if not the transaction will be partially cashed.

Transaction closed date: According to the documents or no later than the date when you received the cheque.

In the event where the taxes must be exempt, you must modify the tax amounts in question and select “YES“ in the ‘'Exempt’' field.

 

 

5. In the ‘'Document Upload’' section , you can upload your cheque and save a copy.

 

6. Once you’ve completed all the required fields, you can click ''SAVE'' and you will automatically be brought back to the disbursements page.

7. In the ‘'Transaction cash receipt’' section you can review all the details submitted. This finalizes the ‘'Cashing the commission of a transaction’'.
